Board Member Responsibilities

President
• Schedule local board meetings and set agendas
• Along with board, set goals for year and communicate goals to chapter
• Conduct monthly chapter meetings
• Attend state board meetings every two months; prepare President's report
• Serve as liaison between state and local chapter
• Maintain contact with each board officer; encourage progress on goals
• Facilitate local PRCA involvement in projects adopted by PRCA board
• Set strategic goals with other board members
• Supply local and state newsletter editors with material regarding chapter activities
• Resolve differences of opinions among chapter officers, members and state officers
• Call special committees as needed
• Ensure Nominating Committee is in place and that a slate of officers for the following year is
appropriately nominated and approved by membership; coordinate with Secretary
• Sign legal and accounting documents as needed
President-Elect
• Attend monthly board meetings and chapter meetings; preside in the President's absence
• Develop, update and maintain biographical sketches on each member; distribute to appropriate
officers and committee chairs
• Support board decisions
• Work with President in resolving problems
• Work closely with committees; plan and organize special committee meetings when necessary
• Assist board with setting goals
Vice President for Programs
• Plan and organize monthly programs for local chapter; preferably several months or even the entire
year's schedule
• Attend monthly board meetings
• Introduce speaker at regular monthly meetings
• Contact local meeting place; negotiate a year-long contract with the meeting facility; confirm date,
time and number of attendees in advance of each meeting
• Send written confirmation to speaker; include information of time, place, directions and specifics on
the PRCA local membership
• Two weeks prior to meeting, contact speaker by phone; identify speaker needs for directions, visual
aides; answer any questions of speaker
• After each meeting, send written note of thanks to speaker
• Distribute and collect program evaluation forms at each meeting that features a speaker; monitor
membership feedback on programs through program evaluations
• Communicate monthly speaker programs to local board members to ensure that topics are of local
public relations interest
• Provide local Newsletter Editor and Publicity Chair with detailed information regarding speaker and
speaker topic at least two weeks prior to the meeting, preferably several months in advance; include
speaker's name, credentials and topic
• Present for board approval annual purchase of O'Dywer's Directory of Public Relations Firms for
donation to the UA College of Communication Reading Room. Provide contact at Communication
Reading Room with speaker names for book donation honorarium
• Prepare program section (Programs) material for chapter book
Vice President for Membership
• Attend board and chapter meetings
• Maintain official local membership roll
• Recruit potential new members; send personal letter and application form
• Process membership applications in an orderly and timely manner
• Gather adequate paperwork on new members for local board approval
• Work closely with State VP Membership and Treasurer to ensure accurate records
• Conduct an annual new member orientation; work closely with other board members to ensure
success
• Inform Vice President for Communications and any others maintaining local list of new members
• Provide membership roll information to members during the first quarter of the chapter year, and then
periodically as changes occur
• Maintain list of potential members
• Prepare name tags for new members
• Ask for potential new members at each board meeting and regular meeting; anyone can recommend a
new member--it is the VP Membership's responsibility to follow-up
• Facilitate and distribute new member packet--membership list, programs, committees and projects
new member may work on
• Make new members feel welcome; recognize new members and prospective new members at chapter
meetings
• Prepare membership section (Attendance/New Members) material for chapter book
Vice President for Projects
• Attend monthly board and chapter meetings
• Plan, organize, implement and evaluate any special projects sponsored or cosponsored by local PRCA
chapter
• Provide Publicity Chair and Newsletter Editor with detailed information regarding any special
project; work closely with these board members and provide more than adequate information for local
distribution
• Work with Treasurer in developing and maintaining a budget for any special project
• Investigate additional special programs for chapter involvement and bring to board's attention for
consideration
• Prepare project section (Projects/Community Service) material for chapter book
Vice President for Communications
• Attend board and chapter meetings
• Oversee publicity, newsletter, chapter book
• Coordinate with VP Membership to maintain a current New Membership Kit/Press Kit
• Facilitate activities that foster a positive chapter image
• Prepare promotion section (Internal promotion/External promotion) material for chapter book
• Promote chapter activities including regular meetings, special events and projects
• Gather information and prepare news releases for area print media
• Prepare news releases for local electronic media (i.e. PSAs)
• Prepare news releases on awards and recognitions of chapter members
• Seek opportunities to promote attendance of chapter meetings
• Collect materials for the chapter book
• Serve on committee to prepare chapter book
• Submit current information for "Civic and Business Organizations of West Alabama" listing
published by the Chamber of Commerce of West Alabama
• Attend board and chapter meetings
• Maintain database for mailing labels and a listing of member addresses and telephone numbers
• Work closely with VP Membership; update list and database regularly
• Work closely with VP Programs; obtain information regarding monthly speaker
• Solicit and compile monthly newsletter; mail to local membership and appropriate state and regional
members
• Establish concrete deadlines to receive information from board and members each month; secure
information to ensure newsletter distribution during the first week of each month; provide Secretary
with established deadlines for receipt of information for newsletter
• Request all newsletter information in writing!
• Include important information in each newsletter including monthly meeting dates, deadlines for
award entries, state and regional information, and information on accreditation
• Work closely with all board members to ensure proper communication between board and
membership in newsletter items
• Proofread and spell check all material
• Purchase stamps and arrange for reproducing and folding newsletter; give receipt to Treasurer along
with required expense form for reimbursement
Vice President for Students
• Attend monthly board and chapter meetings
• Attend local student chapter meetings
• Develop relationship with Student Chapter President and Faculty Advisor
• Work to provide opportunities for student placement within professional public relations community,
ensuring a mutually beneficial relationship combining work experience for student and professional
help to mentor/PRCA member
• As requested, provide assistance to student chapter in entering student awards
• Invite students to professional chapter meetings; assist in securing attendance sponsorships so that
student may attend at no charge or at a reduced charge
Secretary
• Record proceedings at board meetings
• Transcribe minutes and mail to all board members within two weeks of board meeting
• Coordinate with Nominating Committee Chair regarding officer nominations, and distribute ballots
for officer elections in accordance with state requirements
• Prepare for board distribution a list of significant dates; list should include board and chapter
meetings, and newsletter deadlines
• Develop and/or revise a phone assignment list for all members of the board; board members are
responsible for contacting their assigned members regarding upcoming activities (i.e. monthly chapter
meetings, social events, etc.); distribute list to all board members.
• Communicate regularly with the President and issue information from the President to each board
member as needed
• Prepare other correspondence as necessary
Treasurer
• Attend monthly board and chapter meetings
• Establish and maintain a budget for local chapter
• Provide financial report at monthly board meetings
• Gather meal costs of each member at monthly meetings; if unable to attend regular meetings, find a
substitute, preferably a former Treasurer or current Secretary
• Maintain record of membership attendance at meetings--this information will be given to the VP
Membership for chapter book
• Maintain bank account; reconcile bank statements
• Pay all board approved expenditures; reimburse member expenses as approved
• Deposit all receipts
• Work with other board members on projects which require accounting of finances
• When membership refund checks are received from the State Treasurer, send a copy of the
accompanying list to the VP Membership
• Research investment opportunities relative to the chapter's current financial situation and monitor
existing investments
Vice President for Accreditation
• Serve as liaison between regional SPRF Accreditation Chairperson and State PRCA VP
Accreditation/Education
• Promote opportunities for local accreditation study groups
• Prepare accreditation section (Accreditation) material for chapter book
Immediate Past President/Professional Development
• Attend monthly board and chapter meetings
• Provide historical perspective to the local group
• Give advice and assistance as needed
• Coordinate the Past President's Council's involvement for upcoming year
• Seek and facilitate opportunities for professional development
• Ensure membership is aware of opportunities available throughout state and region
• Maintain professional development projects/opportunities/associations that were previously
established
Student Chapter President (Member-at-Large)
• Attend monthly board and chapter meetings
• Serve as a liaison between the professional chapter and the student chapter
• Provide board with reports on student activities and ideas
